Politeness and formality are shown through your choices of language. Before you start, think about the following question:
What is different about the way you write when you are writing to: ·A work colleague? ·Someone you haven't written to before? ·Your manager? ·Your staff? ·Someone you have had correspondence with for a long time?
Why do you think it's important to use the correct level of politeness and formality?
Now look at the two letters below. There are no grammar or organization problems, but they both have problems. Can you rewrite these two letters so that they are appropriate for the situations? Send in your answers, and the best one will be picked as our model answer.

| Letter One:
Situation:
You have been asked to write a report about possible changes to your team's structure. This report requires information from the head office in Malaysia. You are writing to request information from the HR officer, with whom you have regular correspondence.
Mrs. Wang,
I am writing to you to request information for a report that I have been requested to write regarding changes to the organisational structure of our team.
Specifically, I was wondering if you would be able to send me the sales figures from last year and the projections for 2006. In addition to this, I hope it's possible to forward me the current organisational charts from the other branch offices in Shanghai and Singapore.
I very much appreciate your cooperation in this matter. If you have any questions, please do contact me. I look forward to hearing from you soon.

| Letter Two:
Situation:
You are writing to a consultant who you worked with briefly six months before. She has just returned to China from a visit to Europe. You are writing to see if she would be available for another project in December.
Dear Shirley,
I hear you have just returned from your trip to Europe! I was in France just a few weeks ago, and we had a fantastic time. Did you get a chance to go to Paris? It's really lovely in the autumn.
It would be great if we could get together some time if you're available. We could discuss a possible project for the future.
Give me a call about it when you get the chance.
