How to Write a Data Sheet1)
A data sheet or résumé is a list of your most important achievements, talents, and skills.
The first step in writing a data sheet is to gather personal information. This includes your education and experience, and other facts such as activities or hobbies. You then decide which of these facts are important enough to include on the data sheet. Each person is unique2).Therefore,there is no single list of information to include. There is also no single right way to organize a data sheet. You must carefully choose the facts you feel will help your chances of getting a particular job.Exclude anything you feel would not be of help. Most data sheets include the following information in some order.
1. Personal Data
2. Education
3. Work Experience
4. Activities
3. References3)
Your strongest points should get the most emphasis. These points should be placed first on the data sheet. For example,if you do not have much work experience, then stress4)
educational experience or activities by placing them first on the data sheet. If you have more
related work experience, then place this fact first.Usually, facts placed at the beginning get the most attention from the reader. If the facts listed first are not impressive, the employer may not read any further.
Personal Data
Following are types of personal data that you may wish to include in a data sheet.
1. your name
2. address and telephone number
3. job objective
It is helpful to the employer to know as much as possible about you. However, laws
prohibit personal questions that might be used to discriminate. You may want to include the following on your data sheet:
1. data of birth
2. sex
3. health
(If
handicapped,include
convincing reasons why the
handicap5) will not stop you from doing the job.Do not list the
handicap if you feel that the interview would be a better place to discuss this.)
4.marital status
Education
A student with more education than work experience should place the education information before work experience on the data sheet.Include the following information in the education section:
1.name,
location, dates of attendance, and degree awarded for all schools attended
2.special honors received
3.major area of study
4.courses pertinent to the job,if they will strengthen your case
Work Experience
For applicants who have had many
related jobs, the work experience section is the most important part of the data sheet. Most applicants have at least some paid work experience they can list.List your work experience even if it does not seem
related to the job for which you are applying. The fact that you have held some kind of job is a recommendation6).List all paid jobs, beginning with the last job and moving backward in time.
Employment information should include
1.name and
location of company
2.job title and type of work performed
3.dates of employment and /or length of time employed Indicate part-time work where
appropriate to avoid confusion.
Activities
Include activities on your data sheet if you have held positions of responsibility or gained work
related experience from them.Do not list all your activities.List only those which increase your chances for the job.Include the name of the activity and any offices that you have held. Also, list the purpose of the activity if it is not clear.
References
Name at least two people who can recommend your skills.Former employers or teachers are often good choices. Also, give the name of a friend of good reputation7) who can provide a good character reference for you.In addition to stating what type of reference the person can supply(professional, character),include the following:
1.full name and address of the reference
2.telephone number(include area code)
3.title(if the person has one)
Good manners
dictate that you ask the people for permission before listing their names on your data sheet.
Presentation
The data sheet should be well organized and neatly typed so that it is easy to read and nice to look at.The employer may consider the way the data is presented as a sign of your ability to organize material.Use parallel constructions in presenting each part of the data sheet.Use short phrases rather than long, complete sentences to give the information.
Data sheets should be no longer than one typewritten page.If you have many jobs and schools to list, include only the most relevant.
Use good quality white bond paper and a dark
typewriter ribbon when typing the data sheet.Make corrections neatly. There should be no grammartical8),punctuation9),or spelling errors in the data sheet. The employer may form a first impression of you from the looks of the data sheet. This first impression could be the deciding factor when the hiring decision is made.
